Terms of Service
Easy Ordering Place Your Order: Authorized distributors can place orders by email, fax, or online. Include your email address on your purchase order and we will send you a confirmation once your order has been processed. Email orders should be sent to: art@printedpromotional.com

Purchase Order Checklist:
  • Industry Identification Number
  • Contact name, phone, and fax numbers, billing and mailing address and email address
  • Requested ship date and in hands date
  • Item number and quantity
  • Product color and imprint color(s)
  • Pricing and set up charges: include quote numbers and/or SR number, if applicable
  • Artwork layout
  • Ship to address, including ship method
Send Artwork:

To art@printepromotional.com to avoid delays, include your PO# in the subject line and your company name in the body of the email. If there is a question or problem with the artwork, we will contact you once we begin processing the art for production.

Approved Paper Proof or product Proof

Shipping and Tracking:

Please provide your email address on your PO to receive tracking numbers for your shipment. You can also track your orders that ship via UPS at www.ups.com with your order number.

Production Options:

All order and artwork, regardless of the production type, must be received by 1:00 PM EST to be processed that day. Please be sure your emails specify your company name and purchase order number to assure prompt processing.

Standard 5 day Production

  • Orders up to, 1,000 pieces, one color imprint or 500 pieces, two color imprint
  • Art proofs will be provided; Please submit PDF, Jpeg., Ai., Eps., Tiff., Doc. of your artwork to assure correct transmission of the artwork.
  • No ship date is assigned until the Proof approval is received, order will ship on the 3-5 working day after receipt of Proof approval.
3 Day Rush Service
  • 500 piece maximum, one color imprint or 250 piece maximum with a two color imprint. Some items have a lower free rush maximum,
  • defined on the catalog page. Select items are not available on free 3 Day Rush.
  • Order will ship on 3rd working day; not including the day PO and art are received. Expedited shipping requirements must be
  • specified on your purchase order or your order will ship UPS Ground. Please calculate transit time to assure delivery as expected.
  • Free rush applies only to items at catalog quantity pricing, Mega Deal pricing is excluded.
  • Art proof will be provided; Please submit PDF, Jpeg., Ai., Eps., Tiff., Doc. of your art to assure correct transmission of the artwork.
  • Account must be current and/or have appropriate credit line established; new customers will be required to prepay orders until credit is established.
  • For one color imprint orders over 500 pieces/passes, rush charges will be applicable for each additional piece.
  • Orders requiring, rush service outside of these guidelines, please contact our Customer Service to discuss.
  • Artwork requiring adjustments or corrections to make ready for processing will delay shipment of your order.
  • Incomplete purchase orders requiring clarification will delay shipment of your order.
  • Changes to rush orders cannot be accepted without delaying scheduled ship date.
Over/Under Run Policy: all orders are subject to five percent over/under run and will be shipped and invoiced accordingly. For exact quantities, add $20.00 (G) per order.

Assorted Product Colors: are available for any item at catalog minimum quantities and higher. Smaller quantity orders, 250 pieces and less are subject to a maximum of up to three assorted colors. Based on case packs, some items may allow for additional assorted options at lower quantities. Assortments based on less than half a case pack are unavailable.

Order Changes: Changes to orders in process should be sent to orders@printedpromotional.com Changes made after order is entered will be charged $5.00 (G) per change. Changes to art after screen has been made will incur a new screen charge. Shipping changes must be submitted 48 hours in advance of ship date; changes cannot be made the day the order is scheduled to ship.

Artwork Requirements

Artwork is kept on file for maximum of one year. After a year, a full set up charge applies and new artwork is required.

Art Identification: Please make sure all artwork submitted contains your purchase order number in the subject line and your company name in the body of the message, to ensure prompt processing. Please include PDF of artwork to ensure proper transmission of the art file.

Art Requirements: Acceptable file formats are: Adobe Illustrator, Adobe Photoshop, EPS, PDF, and Tiff. files. PC format is preferred. Other file types are not recommended and may be supported. All fonts must be converted to curves prior to submission to avoid font problems. Factory is not responsible for font conversion errors, 300 DPI minimum is required for best print results.

Multi-color Art: Please provide Tiff., Eps., Ai., Jpeg.

Four Color Process Artwork and Imprinting: Electronic art is required. Photos for scanning are acceptable, add $40.00 (G) per photo. Artwork or photo touch ups will incur art charges at the rate of $50.00(G) per hour. Please provide PMS colors for best color match. PMS matches cannot be guaranteed on four color process items because process colors are selected from the four color process side of the Pantone Process Color Imaging Guide.

Art Layout and Charges: If art layout is not specified by customer, factory will use its discretion. Artwork requiring manipulation to meet our print standards will incur an art charge at the rate of $50.00(G) per hour. Normal typesetting is done at no charge. Typesetting of more than 50 characters will incur an additional charge at the rate of $50.00 (G) per hour. Curved typesetting is $20.00 (G) per line copy.

Art Proof Approvals

Digital proof approvals are available on 5 day Standard Service. Digital proofs are only provided when requested. No ship date is confirmed until the paper proof approval is received, order will ship 5 working days after receipt of proof approval. Orders requiring customer initiated art revisions after initial proofing will be subject to a $10.00 (G) revision charge. Orders cannot ship on the day approval is received. (See Production Options for details)

Imprinting

Set Up Charges: Please note that set up charges vary from product to product. A one color imprint is included with initial set up charges; please see individual product pages for specific information. Additional colors will require a set up charge per color, plus additional color run charges, unless otherwise indicated.

Exact Reorder Set Up Charge: Each repeat order must have the exact same artwork as the previous order; colors can vary from order to order. Any change, whether copy or art, will cause the artwork to be considered new, requiring a new set up charge. Artwork is only kept on file for two years. Please submit new artwork for older orders; new set up charges will apply.

Multi-Color Imprints: All Colors can be achieved.

Multi-Color Registration: 1/16” is factory standard and must be deemed acceptable. For tight registration, please consult factory for pre-approval of artwork.

Ink Color Charge: $20.00 (G) per change

Copy Change: $15.00(G), defined as orders with the same logo with address or phone number changes.

Imprint Pricing & Second Side Imprints: Most prices include a one color/one sided imprint; please see individual product pages for specifications and second side imprint charges. Drink Ware is automatically imprinted with the same artwork on both sides, unless otherwise instructed or if the artwork lends itself to a wrap imprint. A wrap imprint does not print the full circumference of the product.

Translucent & Dark Colored Products: White, Silver PMS 877 and Gold PMS 871 are recommended imprint colors on translucent and dark colored items. Second side and black imprint are not recommended on translucent colored items.

PMS Colors & Dark Colored Products: PMS matches are available at $35.00 (G) per color, per order on most products. If specific color match charge and instructions are not clearly indicated, factory will match indicated PMS color as close as possible without charge (color will be within two shades of specified color and cannot be duplicated on reorders). Dark color products will alter the appearance of most imprint colors PMS matched cannot be achieved on dark color products without a white underlay, which will incur additional costs. For PMS matching on four color process items, please see “Four Color Process Artwork and Imprinting”.

Pre-Production Proofs and Specs Samples: Preproduction proofs are recommended on multi-color, large quantity orders or may be required at the discretion of factory based on difficult artwork. Preproduction proofs are shipped air and will be billed accordingly. Pre-production proofs on some items are cost prohibitive. Customer changes production proofs based on submitted artwork will incur new screen charges.

Pre-production and spec samples are billed at $20.00 (G) per imprint color, plus product cost, screen charge(s) and freight.

Shipping

Standard shipping via UPS Ground, unless otherwise specified on purchase order. Expedited freight authorization and changes to ship method and/or ship to address must be confirmed in writing to orders@printedpromotional.com. A minimum of 48 hours advance notice is required to ensure that ship method changes can be implemented. Freight charges are published rates plus handling charge and fuel surcharge (where applicable). Please verify freight cost with factory. All air packages are rated by carton size or weight, whichever is greater. Delivery liability with factory ends when merchandise is delivered to a freight carrier. If the carrier fails to make a timely delivery, the distributor still has a liability to the factory.

  • 2nd or 3rd party handling billing (or APO or FPO) add $2.50 per carton handling charge ($200.00 maximum per order)
  • Drop ship add $6.00(G) per location
  • Less than carton pack add $4.00(G) per carton
  • Parcel post shipment add $5.00 (G) pick up charge per order
  • Truck Shipments: Add $15.00 per pallet for palletizing and shrink wrapping.
Freight Carrier Address Correction Charges: $10.00 per carton, or applicable carrier charge, plus $15.00 administrative fee. Please verify your exact ship to address on your purchase order to avoid delays any correction charges. Address correction charges and/or freight charge backs will be billed within 30 business days of shipment and will not be credited.

Pricing & Payment

Pricing: All prices are per unit and include a one-color imprint unless otherwise specified. Factory is not responsible for incorrect purchase order information; please verify all related item/order costs or contact our Customer Service to confirm pricing details.

Pricing Changes: Due to the instability of raw material prices, factory reserves the right to amend the prices in this catalog are effective at time of publication. Due to fluctuating currency and material cost beyond our control, the most current prices will always be published, with appropriate advance advisement on our website and those prices will prevail.

Price Quotations: Valid for 30 days due to uncertain raw material costs.

Assembly: Please note assembly charges are applicable.

Cancellations: All cancellations are subject to approval by the factory. Costs incurred will be billed for all work performed to point of cancellation, plus$30.00(G).

Guarantee: All products are guaranteed against defects in material and printing subject to normal consumer applications. Claims must be made within 15 days. Product color finish may vary due to manufacturing process. Hot stamp imprints are not guaranteed. Plastic products may show molding/scuff marks resulting from production, molding and shipping process; poly bagging is recommended to minimize scuff marks, see individual catalog pages for pricing. Factory will not be held responsible for scuffed products. See individual catalog for pricing. Mugs, cups and bottles are not dishwasher or microwave safe, nor are the measuring devices.

Measurements for all items are approximate and may vary from lot to lot. Samples should be requested in advance for any items with which you not familiar.

Payment: MasterCard, Visa, Discover, American Express and checks are accepted. Returned checks will incur a $30.00 service charge. Deposits are required on all first time orders and will continue to be required until terms are established. Contact our credit department for a credit card application. Credit card numbers are not kept on file unless specifically requested. Terms may be revoked without notice.

Return Policy: No merchandise may be returned without pre-approval from factory. Please contact factory for a RMA# and ensure that it is clearly marked on all boxes being returned. Shipments without factory RMA# will be refused.

CLAIMS & RETURNS All shipments should be thoroughly checked upon arrival. Factory must be notified within 30 days of any defects, omissions or errors in manufacturing. Only authorized returns will be accepted. All shipments leave the factory in good condition after inspection. Claims for lost or damaged merchandise, or concealed damage should be filed with delivering carrier. Leave shipment intact and file claim immediately. Blank unassembled goods, 40% restocking charge. Blank assembled goods are not returnable except for product defect.

Disputes: All disputes are subject to the laws and courts of State of Florida, Orange County.

FORCE MAJEURE:

PRINTED PROMO INC. CANNOT BE HELD RESPONSIBLE FOR FAILURE TO FULFILL A DELIVERY COMMITMENT AS A RESULT OF SITUATIONS BEYOND OUR REASONABLE CONTROL. THIS INCLUDES, BUT IS NOT LIMITED TO OCCURRENCES SUCH AS: NATURAL DISASTERS (I.E. HURRICANES, FLOODS), LABOR STRIKES, CONGESTION AT PORTS OF ENTRY, US CUSTOMS/HOMELAND SECURITY HOLDS AND DELAYS, OR FAILURE OF SUBCONTRACTORS TO PERFORM. ACCESS LINE MANUFACTURING, INC. WILL PROVIDE WRITTEN DOCUMENTATION IN SUPPORT OF ANY FORCE MAJEURE OR COMMERCIAL IMPRACTICABILITY CONDITION UPON REQUEST.

Product Colors & Illustration: Product color finish may vary due to manufacturing process. Logos used in marketing materials are for illustrations purposes only. This does not imply endorsements, nor has the owner for such design expressly authorized any items with the specific logos for sale to anyone. Products and product colors are approximate and are for illustrative purposes only; factory reserves the right to offer a substitute product that compares in price, design, type and color for those shown in this catalog.

Product Safety & Compliance

Printed Promo, Inc. (Printed Promotional) complies with all current Federal Regulations and guidelines regarding chemical composition, manufacturing standards and health and labor laws.

Prop 65: The State of California requires significantly stricter standards be met, known as California Proposition 65. Warning: Chemicals known to cause cancer or birth defects or other reproductive harm may be present in products sold by Printed Promotional. It is the distributor’s responsibility to provide Printed Promotional written notice that any product ordered may be sold or shipped to the State of California and that the product will require a Prop 65 warning. Any order placed with or received by Printed Promotional, but no limited to online, phone, email or mail shall be deemed acceptance of terms stated herein. Labeling charges to comply with Prop65 may be required; contact factory for pricing and information.

CPSIA: Printed Promotional is current on the requirements set forth by the Consumer Product Safety Information Act (CPSIA). The CPSIA act of 2008 requires that importers/manufacturers are able to provide traceability of children’s products back to the origin of manufacture. Printed Promotional provides permanent labeling that meets the identification requirements of the CPSIA. Any products deems primarily for use by children under the age of 12 will carry the necessary identification markings as is required by the law.
